Using a File module, you can provide learners with files to download or request that they upload files as part of a course. When requesting learners to upload files, you can later download these files individually or in bulk.
Using the File module
Follow these steps to add a file module to your course:
- Complete the usual steps to create a course.
- Click Add Module and select the File module type.
- Give the module a name (in the Module Title field) and provide a description of the downloadable or requested files.
- If you're requesting learners to upload files, turn on the Require learner to upload files toggle. The maximum file size is 40MB and the accepted file types are .exe, .doc, .docx, .pdf, .txt, .xls, .xlsx, .csv, .zip, .rar, .flv, .h264, .mov, .avi, .wmv, .mpg, .mpeg, .mp4, .ppt, .pptx, .jpg, .gif, and .png.
- Optionally turn on the Allow Course to be passed overall even if this module is failed? toggle.
- If you're including files for learners to download, drag-and-drop the files into the Attach files section of the form or click the browse link to locate the files on your device. The maximum file size is 100MB and the accepted file types are .exe, .doc, .docx, .pdf, .txt, .xls, .xlsx, .csv, .zip, .rar, .ppt, .pptx, .jpg, .gif, and .png.
- Click Save.
The downloadable files have been added or the request for learners to upload files has been created.
If the documents uploaded by learners require approval, add an Approval type action module as the next module in the course. For information about this module type, see 'Setting up an approval gateway'.
To include a read-only PDF document in a course requiring learners to acknowledge they've read it, see 'Using the Document Viewer course module'.
For more information, see 'Adding modules to a course'.
Downloading files uploaded by the learner
If you have requested files to be uploaded, these files can be downloaded (e.g. for auditing purposes) individually for each learner, or in bulk from all learners. To download the files go to the Course Insight page for the course that contains the file module you are interested in.
Bulk download:
If the course has a File module requiring learners to upload files, you will see a button at the top of the Course Insight page labelled "Download files".
- Click on the Download Files button
- Select the course completion date range of the files you wish to download. Leave this blank if you wish to download all files.
- Optionally turn on the toggle to include disable users if required.
- Click on Download files.
Notes on bulk file downloads:
- This will download a zip file, with a structured naming convention, containing all uploaded files from learners who have completed the course.
- For smaller zip files, you will be prompted to specify a Save Location to save the immediately.
- For larger zip files that take longer to generate, this will be processed in the background and will be available via the "MY DOWNLOADS" tab on the Reports page.
- Files in the MY DOWNLOADS tab will expire after 7 days, and can also be manually deleted.
Individual download:
Scroll to the bottom of the Course Insight page, to the "All Enrolments" table.
- Search for the learner for which you wish to download the files
- Click on the learner's name to visit their enrolment insight page.
- Find the FILE module, and click on the Actions button.
- Under "User uploaded files" click on the Download button corresponding to the files that you want.
- Select your desired save location and click on Save.
